Where AI actually fits · a worked example
Intake, reminders, follow ups, document chasing. None of it is hard. It just takes time, every day, and it slips when things get busy.
We map the steps, see where time goes, and rank each opportunity by how much effort it takes and how much difference it makes.
Routine messages and admin run on their own, following rules you agree to. Anything sensitive is flagged to a person instead of guessed at.
Judgement, care, the conversations that matter. That’s the point: less busywork, more of the work people came to do.
A new patient fills in the contact form
TodaySomeone sends a personal welcome and books the intake call by hand.
With AIA welcome goes out in your voice and the intake call lands in the calendar.
The appointment is coming up
TodaySomeone has to remember to send a reminder that morning.
With AIReminders go out on schedule, and replies update the booking.
Two days after the visit
TodayA check in gets sent when the front desk finds a moment.
With AIThe check in is drafted and sent. Anything concerning is flagged to a person.
Sixty days pass with no visit
TodayNobody follows up unless someone happens to remember.
With AIA friendly nudge to rebook goes out, so patients don’t quietly drift away.
The front desk team
TodaySpends the day pushing every one of these steps forward.
With AIReviews the exceptions and spends their time with patients.

Our approach
The biggest barrier to AI in most businesses isn’t technology. It’s people who haven’t been trained, and people who quietly worry the tools are coming for their job.
So we start there. We involve your team early, explain what’s changing and why, and train them on their own work until the tools feel like theirs. People who feel they’re doing something cutting edge, that makes their day better, turn up differently. That’s where the real return comes from.
Role by role, on the tasks your people actually do. No generic courses.
We answer the hard questions directly, including “what happens to my job?”
Your team leaves capable and curious, with a say in what gets automated next.
How we work
We listen first.
We sit down with you and your team, on site or on a call, and ask how work really gets done. Where the time goes. What frustrates people. What worries them about AI.
A shared understanding of your business, not a sales pitch.
We draw how work flows.
We map your key workflows step by step: who does what, which tools they use, where information lives and where jobs get handed off or stuck. A short survey tells us how ready your team feels.
A clear picture of your operations, often for the first time.
We decide what AI should and shouldn’t do.
We pick the opportunities worth doing, rank them by effort and impact, and design each one with a person in control of anything that matters: approvals, client communication, money and sensitive data.
A prioritised roadmap, with the risks called out plainly.
We set it up with you.
We configure business grade AI assistants and connect them to the apps you already use, so the repetitive steps run on their own and your people review the exceptions.
Working workflows, tested on your real work.
We bring your people with us.
Hands on sessions built around each role, not generic courses. People learn on their own tasks, get their questions answered, and leave confident rather than anxious.
A team that understands the tools and wants to use them.
We measure and keep it current.
We check what’s working, tune what isn’t, and keep you across new capabilities as they arrive, so the value keeps building after we step back.
Gains you can see, and a plan for what’s next.
What we use, explained simply
We’re not here to sell you software. We choose established platforms, configure them for your business and make sure your team knows exactly what each one does.
Think of a very capable assistant that drafts, summarises, researches and answers questions. We set these up on business plans, where by default your conversations are not used to train the models, and load them with your business context so the answers sound like you.
The quiet connectors between your apps. When an enquiry lands they can log it, draft a reply, book the call and update your records, following rules we agree with you in plain language.
Email, calendar, accounting, CRM, job management, spreadsheets. We connect to what your business already runs on. No rip and replace, no new platform to learn for its own sake.
A person approves anything that matters. Each workflow only touches the data it needs. You get a written AI use policy your team understands, and a record of what ran and when.

Safe by design
Anything involving judgement, money, clients or sensitive information has a human checkpoint. AI drafts, people decide.
Business plans, least access by default, and clear rules about what can and can’t go into an AI tool.
Every recommendation is tested against one question: does this help the business without taking something away from its people?
Rushed AI rollouts fail. We move at a speed that lets people adapt, not just systems.
AI isn’t a silver bullet. We’ll tell you plainly where it helps, where it doesn’t, and where it isn’t worth it yet.
Our setup follows the National AI Centre’s Guidance for AI Adoption, so you’re well placed as Australia’s AI standards take shape.

Most Australian workers using AI at work are not announcing it in the team meeting. They are doing it quietly, getting their work done faster, and saying nothing. New research cited by IT Brief Australia confirms this…

More questions answeredNot at all. That’s where most of our clients begin. The AI Automation Audit exists for exactly this: we learn how your business works, then show you in plain English where AI fits, where it doesn’t, and what to do first.
No. You need to know your business, and we bring the rest. We explain everything in everyday language and never hand you jargon or a tool without the training to go with it.
That isn’t our approach. We design AI to take the repetitive work off your people so they can do more of what they’re good at. We involve your team early, answer the hard questions honestly, and train them so they feel capable rather than threatened.
Mostly Claude and ChatGPT on business plans for the AI assistants your team talks to, and n8n or Make for the automations that connect your existing apps. We work with the email, calendar, accounting and CRM tools you already have rather than asking you to switch.
We set tools up on business plans where, by default, your conversations aren’t used to train the models. Each workflow only gets access to the data it needs, a person approves anything sensitive, and you get a written AI use policy your team can follow.
The AI Automation Audit is a fixed $1,500 for new clients (normally $3,000), credited in full if you go ahead within 30 days. Implementation packages start at $4,950, or individual workflows from $950. Care plans start at $550 a month and include hosting and running your automations. AI assistant seats are paid directly by you, at cost. Prices exclude GST.
We’re based on the Gold Coast and work with businesses across Australia, on site or by video call.
