Trust
Responsible AI Statement
We help businesses adopt AI safely, so we hold ourselves to the same standard.
1. Why we publish this
Trust is the foundation of our work. Businesses let us into their operations, their data and their teams, and they deserve to know exactly how we use AI and how we make sure the systems we build are safe, fair and under their control.
We follow the six essential practices in the Guidance for AI Adoption, published by the National AI Centre in October 2025. They are voluntary, and we have sized them to suit small and medium businesses.
2. Our commitments
| Practice | In our business | In the work we do for you |
|---|---|---|
| Decide who is accountable | Our founder is accountable for how XSIV AI uses and builds AI. | Every workflow we build has a named owner in your business, recorded in your AI register. |
| Understand impacts and plan accordingly | We think about the people affected before we recommend anything, including your staff. | Our audit includes a team readiness survey, and every recommendation considers its effect on your people and customers. |
| Measure and manage risks | We screen each opportunity for data, privacy and quality risks. | Your report calls out risks plainly, and higher risk work, such as anything touching health information, gets written safeguards first. |
| Share essential information | We are open about how we use AI, including on this page. | You receive an AI use policy and a register of where AI is used, what data it touches and who owns it. Customer facing automations are clear that they are automated. |
| Test and monitor | We test our own tools before relying on them. | Every workflow is tested on your real work before it goes live and monitored afterwards under your care plan. |
| Maintain human control | A person reviews anything we deliver. | Anything that matters has a step where one of your people checks or approves it, and agents only act within limits you agree. |
3. How we use AI ourselves
We use AI tools in our own work, for example for research, drafting, analysis and building automations. We use business grade tools that, by default, do not train on what we put into them, and we never put personal or confidential information into free or consumer AI tools. A person reviews everything we deliver to clients or publish, and we take responsibility for it.
Enquiries sent through our website are saved and emailed to us automatically. A person reads and replies to every one.
4. What we will not do
- Use your data, or your customers’ data, to train AI models.
- Build systems that make significant decisions about people, such as hiring, pay or eligibility, without a person reviewing them.
- Build automations that pretend to be a person in a way that misleads your customers.
- Build tools to secretly monitor or rank your staff.
- Recommend replacing your people without an honest conversation about the impact and a plan to support them.
- Promise results we cannot stand behind.
5. Raising a concern
If you are worried about something we have built or how we have used AI, please tell us at craig@xsiv.au or 0411 175 256. We will look into it promptly, fix what needs fixing and explain what we did. For privacy concerns, see our privacy policy.
